Who is responsible for your information?
Dr Julie Winstanley, trading through Dr Julie’s Living Well and Living Well Partners, is the data controller for the personal information described in this policy.
Information we collect
When you request the partnership prospectus, we collect your name, work email address, organisation, role, the type of support you are interested in if you choose to provide it, your consent to receive the prospectus and relevant partnership emails, and the date and time of your request.
When you submit a partnership enquiry, we collect your name, organisation, role, email address, the type of support required, approximate number of people, your message, your agreement to be contacted, and the date and time of the enquiry.
Please do not include health information or other sensitive personal information in the free-text message unless it is genuinely necessary.
Why we use it and our lawful basis
- Prospectus and partnership emails: to send the prospectus and relevant partnership information you have requested. We rely on your consent. You may withdraw that consent at any time.
- Partnership enquiries: to read, respond to and follow up your enquiry and to take steps you request before a possible agreement. Depending on the context, we rely on steps taken at your request before entering a contract and our legitimate interests in responding to genuine business enquiries and keeping appropriate business records.
- Legal and security purposes: where necessary to meet legal obligations, prevent misuse or establish, exercise or defend legal claims.
Where information is stored
Prospectus subscribers are added to the designated Living Well Partners group in MailerLite. MailerLite stores the subscriber record, subscription and consent status, and email activity needed to deliver the prospectus automation and manage unsubscribes. A copy of the prospectus request is also stored in the secure website database so the site owner can review requests through the password-protected admin area.
Partnership enquiries are stored in the secure website database and are available to Dr Julie through the password-protected owner admin area. They are not published on the website. Follow-up correspondence may also be retained in the Living Well Partners business email account.
Service providers
We use service providers acting on our behalf to operate the website and communications. These include MailerLite for subscriber management and automated email delivery, and the website hosting, database and infrastructure providers used to run Living Well Partners. They may process personal information only as needed to provide their services, subject to their contracts and security arrangements.
Some providers may process information outside the UK. Where this happens, we expect appropriate safeguards to be used in accordance with UK data-protection law.
How long we keep information
Prospectus marketing records are kept while you remain subscribed. If you unsubscribe, MailerLite may retain a minimal suppression record so that your preference can be respected. Inactive prospectus records are reviewed and ordinarily removed after 24 months where there is no continuing business, legal or consent-management reason to keep them.
Partnership enquiries are ordinarily kept for up to 24 months after the last meaningful contact. If a partnership is agreed, relevant records may be kept for longer where needed for the relationship, tax, accounting, insurance or legal purposes.
Your rights
You may ask for access to your personal information, correction of inaccurate information, deletion, restriction, or a copy in a portable format where the law provides these rights. You may object to processing based on legitimate interests and may withdraw consent for marketing at any time.
Use the unsubscribe link in any MailerLite email or submit a request using the Contact us here form. Withdrawing consent does not affect processing that was lawful before withdrawal. You also have the right to complain to the UK Information Commissioner’s Office.
Contact about privacy
Use the Contact us here form and select “Privacy or personal-data request”. Your message will be stored securely in the private owner admin area.
